The best documents & knowledge tools
for organizations that want to use AI.
SharePoint and OneDrive win on AI readiness because Copilot is grounded in them with your existing permissions and the retention and sensitivity controls are the best at this size. Google Drive is a close second for Workspace shops. Notion is the nicest wiki and the one most teams ask for; it needs a retention and permissions policy before it becomes the organization brain.
Included with Microsoft 365. Permissions, retention and sensitivity labels are the strongest in the segment.
Why we picked it
Everything the AI assistant can answer depends on where the files live and what permissions they carry. SharePoint and Drive are the two places where that's already true. Grounding your AI anywhere else means rebuilding permissions.
Weighted 25/25/20/20/10.
Flaws but not dealbreakers
SharePoint's information architecture is easy to get wrong and hard to fix later. Drive's shared-drive governance is light until you add structure.
Also great, and the budget pick
Notion is excellent for living documents and SOPs, with a good API; treat it as a layer on top of your file system, not a replacement. Confluence suits Atlassian teams. Use what the suite includes. Both are free with the plan you already have.
Included with Google Workspace. Shared drives with a light governance layer go a long way.
The competition
What to skip
A wiki nobody owns. Knowledge without an owner decays in six months.
How we score
Five things, weighted into one number: native AI (25%), whether your own AI can act on it through an API or connector (25%), whether your assistant can reach the data and you can export it (20%), governance such as admin control, no-training terms and audit logs (20%), and Canadian data residency (10%). Scores are GoodOps judgement, revisited as vendors ship. Some tools pay us a referral fee; we say so and it never changes the pick.
