Does the tool itself ship AI that does its job: recap, draft, code, match. Not a chatbot bolted on.
Can your AI act on it: open API, webhooks, an MCP connector, Zapier or Make. The one that matters most next.
Can your assistant read what's inside with your permissions, and can you export everything if you leave.
Admin control over AI features, no training on your data in the terms, diagnostic logs, SSO.
Can the data live in Canada.
Identity & workspace
Email, identity, files and the admin console everything else hangs off. Decide this first; it sets the route for most activations and migrations.
Pick the suite your email already lives in and then actually configure it. Microsoft 365 Business Premium wins on AI readiness because Copilot, device management and security ship in one bill with Canadian data centres. Google Workspace is close behind and easier to run with no IT person; Gemini is included and the admin console is friendlier.
Business Premium bundles identity, Intune, Defender and SharePoint. Canadian datacentres. The default for 15+ when the team is on Windows or already uses Outlook.

HRIS and payroll in one record so onboarding, exits and role coverage have a single source of truth.
For most Canadian organizations the right answer is Humi: payroll, time-off, documents and onboarding in one record, built here, with CRA remittances handled. Rippling scores higher on AI readiness because it drives identity and devices from the employee record, but it's US-hosted and more than most teams need. Wagepoint is the budget pick under forty people.

General ledger plus controlled purchasing. Keep AP/AR follow-through inside the same system where possible.
QuickBooks Online remains the default for a reason: every bookkeeper knows it, Intuit Assist is improving fast, and the API lets receipts, invoices and payments flow in from the tools around it. Xero is the better product for agencies with multi-currency needs. Move to Sage Intacct or NetSuite only when you have multiple entities or revenue recognition to manage.

One customer record. Most companies under 75 people are over-served by enterprise CRM.
HubSpot for almost everyone: the free CRM is good, the record model is sane, Breeze is the most useful native AI at this tier, and it connects to everything. Salesforce scores higher because its API and governance are the industry's reference, but it needs an admin you don't have. Non-profits should look at Keela, built in Vancouver with CRA-compliant receipting.

Zendesk is the most AI-ready help desk here and the standard for customer support at scale; it's also overkill under twenty agents. Freshdesk launches in a day, has a usable free tier and good automations, which is why it's the pick we actually make for most organizations. Jira Service Management is the right answer if your requests are internal IT and you already live in Atlassian.

Microsoft Planner is included with 365 and fine for basic tracking inside Teams; thin for anything portfolio-shaped.

Slack is still the best chat product and the most agent-ready, with an API everything plugs into. Microsoft Teams is included with 365, has Copilot recap built in and blocks third-party notetaker bots at the tenant, which matters more than it used to. Our rule: use the one your suite includes, and pay for Slack only if the team already lives there.

Trusted company knowledge needs a home with permissions, retention and a searchable index.
SharePoint and OneDrive win on AI readiness because Copilot is grounded in them with your existing permissions and the retention and sensitivity controls are the best at this size. Google Drive is a close second for Workspace shops. Notion is the nicest wiki and the one most teams ask for; it needs a retention and permissions policy before it becomes the organization brain.

This category is a stack, not a choice. Intune and Defender for Business are included with Microsoft 365 Business Premium and cover devices and endpoints for most organizations; 1Password is the best password manager and Canadian-built; a SaaS backup like Datto or Dropsuite is non-negotiable because Microsoft and Google don't back up your data for you; KnowBe4 handles the people. CrowdStrike and Kandji are upgrades, not starting points.
