The best finance & spend tools
for organizations that want to use AI.
QuickBooks Online remains the default for a reason: every bookkeeper knows it, Intuit Assist is improving fast, and the API lets receipts, invoices and payments flow in from the tools around it. Xero is the better product for agencies with multi-currency needs. Move to Sage Intacct or NetSuite only when you have multiple entities or revenue recognition to manage.
Cleaner multi-currency and bank feeds; preferred by agencies and advisors. Fewer Canadian payroll integrations.
Why we picked it
Xero takes the AI-readiness score by a hair on the strength of its API and bank-feed quality, and QuickBooks takes the recommendation for most organizations because of the bookkeeper ecosystem and Canadian payroll integrations. Either one is the right ledger; the wrong move is a spreadsheet.
Weighted 25/25/20/20/10.
Flaws but not dealbreakers
QuickBooks Advanced strains past roughly 150 people and multi-entity. Xero has fewer Canadian payroll integrations.
Also great, and the budget pick
Float and Plooto are the Canadian spend and payments layers that make Receipts & Expenses and Invoicing work; they're add-ons to the ledger, not alternatives. QuickBooks Simple Start or Xero Starter is enough for an organization that bills monthly and has a bookkeeper.
Full ERP. Only when inventory, multi-subsidiary or revenue recognition demand it; scoping required.
The Canadian SMB default; every bookkeeper knows it. Advanced tier holds to ~150 people before the ledger strains.
The competition
What to skip
NetSuite under 100 people is a project, not a tool.
How we score
Five things, weighted into one number: native AI (25%), whether your own AI can act on it through an API or connector (25%), whether your assistant can reach the data and you can export it (20%), governance such as admin control, no-training terms and audit logs (20%), and Canadian data residency (10%). Scores are GoodOps judgement, revisited as vendors ship. Some tools pay us a referral fee; we say so and it never changes the pick.
