The best identity & workspace tools
for organizations that want to use AI.
Pick the suite your email already lives in and then actually configure it. Microsoft 365 Business Premium wins on AI readiness because Copilot, device management and security ship in one bill with Canadian data centres. Google Workspace is close behind and easier to run with no IT person; Gemini is included and the admin console is friendlier.
Business Premium bundles identity, Intune, Defender and SharePoint. Canadian datacentres. The default for 15+ when the team is on Windows or already uses Outlook.
Why we picked it
Business Premium is the only plan at this size that bundles the AI assistant, identity, device management, endpoint protection and the file system under one admin and one data-residency promise. Everything downstream, from backups to AI operating rules, gets easier when the foundation is one tenant.
Weighted 25/25/20/20/10.
Flaws but not dealbreakers
The admin surface is enormous and most organizations have five percent of it configured. Licensing names change yearly. If nobody owns it, it drifts.
Also great, and the budget pick
Google Workspace is lighter to administer, Gemini is included in Business plans, and Google for Nonprofits is free for eligible charities. Data residency requires Enterprise, which is the main reason it isn't the pick. There isn't one; both suites cost about the same per person. Save money by buying the right tier, not a cheaper suite.
Lighter admin, fast to adopt, strong for small and remote teams. Google for Nonprofits is free for eligible charities. Data regions require Enterprise.
What to skip
Don't run both. Half the organizations we meet have Google for email and Microsoft for files, which doubles the cost and halves what AI can reach.
How we score
Five things, weighted into one number: native AI (25%), whether your own AI can act on it through an API or connector (25%), whether your assistant can reach the data and you can export it (20%), governance such as admin control, no-training terms and audit logs (20%), and Canadian data residency (10%). Scores are GoodOps judgement, revisited as vendors ship. Some tools pay us a referral fee; we say so and it never changes the pick.
