The best meeting intelligence tools
for organizations that want to use AI.
Teams recap, with Copilot or Teams Premium, is the pick: recap, decisions and actions inside the tool you already use, under your tenant's consent and retention policy, with Canadian residency, and no bot in the call. Gemini in Meet is the Google equivalent and included. Fireflies, Otter and Fathom are good cross-platform options whose consent and retention terms you must review; Gong is revenue intelligence for sales teams of ten or more.
Recap, decisions and actions inside Teams, under the tenant’s consent and retention policy. The U01 reference route.
Why we picked it
Native recap wins because of governance and because Microsoft Teams now sends third-party bots to the lobby by default. People also talk more freely when the recorder is the tool they already know.
Weighted 25/25/20/20/10.
Flaws but not dealbreakers
Teams recap quality depends on the licence tier. Gemini in Meet's action items still need a hand-off to the tracker.
Also great, and the budget pick
Gong is in a different category: deal intelligence, coaching, forecasting. Worth it with a real sales team, pointless without one. Gemini in Meet, included with Workspace Business.
Revenue intelligence, not note-taking. Only with a 10+ seat sales team and a RevOps owner.
Take notes for me and recap, included with Workspace Business. Actions still need a hand-off to the tracker.
The competition
What to skip
Three people on three different notetakers. The module Voice Memory starts by retiring them.
How we score
Five things, weighted into one number: native AI (25%), whether your own AI can act on it through an API or connector (25%), whether your assistant can reach the data and you can export it (20%), governance such as admin control, no-training terms and audit logs (20%), and Canadian data residency (10%). Scores are GoodOps judgement, revisited as vendors ship. Some tools pay us a referral fee; we say so and it never changes the pick.
